Reports to:    Director of Youth Services and STEM Education
FLSA Classification/Job Grade: Non-exempt/5
Hiring Range:  $11.56/hr - $14.56/hr
Pay Range:  $11.56/hr - $18.06/hr
Department:   Youth Services and STEM Education


Responsible for entering, tracking, and monitoring data for the Youth Services and STEM Education Department. Supports the department in a wide range of administrative and office support activities, including but not limited to: typing, filing, and scheduling, obtaining supplies, and working on special projects. Independent judgment is required to plan, prioritize, and organize a diversified workload.


High School diploma or equivalent with two (2) years relevant experience. Associate’s Degree with two (2) years work experience or a High School Diploma or equivalent with at least four (3) years of relevant experience.


Proficiency in Microsoft Office is required. Working knowledge of word processing, spreadsheet and database software, excellent analytical and problem solving skills, effective personal and interpersonal communication skills, independent, self-motivated and the ability to work with minimal supervision. The ability to work on several projects at one time and ability to create and/or maintain a system which supports the department is necessary.


  • Enters data to the appropriate databases for all programs in accordance with needs of the Youth Services and STEM Education Department.
  • Creates and maintains reports and spreadsheets as directed or assigned for all STEM programs.
  • Generates weekly and monthly tracking reports for the Director.
  • Verifies information on discrepancies or inconsistencies with appropriate staff and the Director.
  • Works with the STEM Specialists and STEM Manager to resolves any problem or discrepancy with the data and assists in securing missing information..
  • Processes, assists with and prepares correspondence, reports and other materials as necessary for the YWCA of Greater Pittsburgh management.
  • Maintains accurate and timely spreadsheets for all programs within the Youth Services and STEM Education Department.
  • Provides departmental clerical support in an accurate and professional manner for the efficient operation of the department.
  • Maintains a constant supply of department forms and work-related materials/supplies..
  • Responsible for filing and maintaining the integrity of the filing system.
  • Maintains high levels of consumer satisfaction.
  • Must maintain a high level of confidentiality when working with sensitive and personal client, vendor, employee and contract information.
  • Must effectively deal with sensitive information and occurrences.
  • Displays consistent professionalism and courtesy when interacting with internal and external customers.
  • Promotes and supports the mission, imperative, values and goals of the YWCA maintaining high performance standards.
  • Participates in YWCA professional development opportunities successfully implementing new skills, knowledge and procedures.
  • Performs other such duties as may be assigned within the scope of the Regional Key.


  • Ability to lift, carry and otherwise move up to 15 pounds on a regular basis
  • Ability to sit, stand, bend, kneel, reach, push, pull, or walk for various lengths of time throughout the day
  • Ability to utilize computer equipment to complete daily work responsibilities
  • Ability to operate fax/copy machines, telephone, calculator and general office equipment on a daily basis
  • Daily work in an office environment and with frequent travel to client sites with exposure to weather conditions
  • Available to work 7 hours per day and/or 35 hours per week or more as necessary to meet Association objectives.
  • Ability to travel for meetings, agency trainings and other miscellaneous work assignments within or outside of Allegheny County.
