Development Officer

JOB SUMMARY:

Reporting to the CEO, this position serves as a key leadership team member and active participant in making strategic decisions affecting YWCA Greater Pittsburgh.  The Development Officer develops strategies for, leads, and oversees all fund development, sponsorship and events, and internal and external communications. Fund development responsibilities include prospect research; corporate and foundation relations; grant seeking; individual donor campaigns including annual, major gift, planned giving, and capital initiatives; donor stewardship; and fundraising administration. The Development Officer oversees event sponsorship, planning, and management, including creation and distribution of print and electronic collateral; event publicity; event ticketing and day-of event coordination. Internal and external communication responsibilities include oversight of the organizational website and all its content; media releases; semi-weekly electronic constituent and employee newsletters; a robust social media presence; all fund development solicitations and stewardship collateral; and customized print materials for multiple departments/programs. The Development Officer also coordinates external requests to provide volunteer experiences. The successful candidate will forge new relationships that build YWCA Greater Pittsburgh’s visibility, impact, and financial resources. The Development Officer works closely with the Development Committee of the Board of Directors and the senior YWCA management team.

MINIMUM QUALIFICATIONS: 

Bachelor's Degree with at least eight (8) years of relevant experience of which five (5) were at a management level (ten years experience preferred) or a Master's Degree with six (6) years of experience and at least three (3) years at a management level.   Must be familiar with the non-profit/philanthropic community and its structure for funding. Must demonstrate a track record in fund development with experience in donor strategies, solicitation, planned giving and donor cultivation and stewardship.  Experience in communications research, news releases, written preparation and dissemination of information through such media as publications, broadcasting, direct marketing and public speaking.  Experience in resource development and marketing of programs, along with strategic thinking and management is required. 

KNOWLEDGE AND SKILLS: 

Must have a demonstrated track record in fund development.  Must be familiar with requests for proposal, letters of intent, and the grant writing process.  Possesses excellent communication skills, both written and oral, ability to influence and engage a wide range of donors and build long-term relationships.  Ability to analyze target markets and provide well thought-out, concise and timely communications.  Tangible experience of having expanded and cultivated existing donor relationships over time. Must possess a creative, energetic, and customer-service oriented work ethic.  The position also requires proficiency in Microsoft Office, PowerPoint, Access or Excel, and web development tools. Knowledge of donor database management, website administration, contracting, and project management required.

ESSENTIAL RESPONSIBILITIES:

Planning and Strategy

  • Works collaboratively with CEO and Board of Directors Development Committee to promote and execute Association-wide activities, events, fund-raising goals and strategies.
  • Develops fundraising strategies to drive and achieve the organizations mission and strategic plan.
  • Develops and leads in the implementation of a comprehensive communications strategy for YWCA Greater Pittsburgh that identifies key attributes, messages, and imagery for each internal program and their target market.
  • Serves on the senior leadership team and acts as advisor to the CEO on issues of strategic importance regarding all internal and external communications.
  • Manages a high-performing development program with measurable and attainable fundraising goals in support of established priorities.
  • Inspires department staff through effective motivation, mentoring, and team building. Embrace diversity and manage staff skills to leverage existing capacity while strengthening performance to achieve department goals.

Fundraising and Relationship Development

  • Identifies and develops partnering opportunities with individuals, corporations and foundations to support YWCA program and operations priorities; including planned giving.
  • Engages direct cultivation with various agencies and organizations to include working with volunteers, advisory boards, department directors and foundations.
  • Maintains competitive market data in order to leverage resources and funding opportunities.
  • Works to diversify revenue streams for the Association.
  • In conjunction with department staff and Association Directors, leverages existing grants, writes and executes letters of intent and grant proposals to secure funding.
  • Manages funding reports by overseeing the submission process, ensuring reports and other documents are well written, strategic and submitted on schedule. Also manages subsequent required progress reports.
  • Oversees and manages ongoing updates and communications to YWCA key donors including distribution of materials such as electronic newsletter, solicitations, and annual reports.
  • Oversees planning, management and growth of the Association’s hallmark fundraising events, e.g. Tribute to Women Leadership Awards and Racial Justice Awards.

Communications

  • Designs programs for annual and special events that integrate the use of all forms of communications, including media relations, print, periodicals, the internet, multimedia, new media, and signage.
  • Creates and maintains collateral materials for all YWCA programs, services and events.  This includes researching, writing and supervising design and delivery of collateral materials. Examples include the annual fundraising campaign, solicitation for the Liz Prine Fund, and the Community (Annual) Report.
  • Establishes and maintains a list of partners for print and electronic distribution of communication materials.
  • Oversees a plan for soliciting regular updates of website contents to include approval of all aspects of design and implementation for website, printing, advertising information, public relations and communications materials.
  • Acts as liaison with all forms of media.

Administration

  • Oversees all management aspects for the Development Department to include: staffing oversight, performance management, training, development, counseling and discipline.
  • Prepares and manages departmental budget.
  • During a crisis, oversees crisis communications implementing the YWCA Business Continuity Plan.
  • Must maintain a high level of confidentiality when working with sensitive and personal client, vendor, employee and contact information.
  • Displays consistent integrity, ethical behavior and professionalism when interacting with internal and external customers.
  • Promotes and supports the mission, values and goals of the YWCA while maintaining high performance standards.
  • Performs other duties as assigned within the scope of the Development and Communications Office.

WORKING CONDITIONS AND PHYSICAL REQUIREMENTS: 

  • Ability to lift, carry and otherwise move up to 15 pounds on a regular basis.
  • Ability to sit, stand, bend, kneel, reach, push, pull, or walk for various lengths of time throughout the day.
  • Ability to utilize computer equipment to complete daily work responsibilities.
  • Ability to operate fax/copy machines, telephone, calculator and general office equipment on a daily basis.
  • Inside work in an office environment with no exposure to weather conditions.
  • Available to work 7 hours per day and/or 35 hours per week or more as necessary to meet Association objectives.
  • Ability to travel for meetings, agency trainings and other miscellaneous work assignments within or outside of Allegheny County.
